Privacy Policy
Section 1 - Objective
To create a safe and secure atmosphere where we (the Sinclair) can obtain information needed for a variety of reasons.
Section 2 - Definitions
Information Provider - Any person(s) who provide any information to the Sinclair for any purpose regardless if they're affiliated with the Sinclair or not.
Child - For the purpose of this policy, any person(s) under the age of 13.
Section 3 - Regulations
1. No information from any member(s), applicant(s), or any other person(s) shall be sold, given, or traded for any reason.
2. All information collected shall only be available to the Senior Officers of the Sinclair or as required by STARFLEET International.
a) Senior Officers must keep any confidential information in a secured location, and not accessible to non-Senior Officers.
b) Senior Officer must surrender ALL documents upon resigning, termination of membership, or any other reason which causes them to not be considered a Senior Officer.
3. Any information that is stored online shall be password-protected and will not include addresses or telephone numbers without prior permission of the
Information Provider.
4. Any information for any child (age 12 and younger) must be provided by the parent of the child. The only piece of information that we can collect from a child is their email address (and we cannot email them without a response from their parent), and the email address of their legal parent/guardian. Their parent/legal guardian shall then be sent an email requesting the information. This policy is to comply with the Children's Online Privacy Protection Act (COPPA) of 1998.
a) If a child does submit any information, it must immediately be forwarded to the Commanding Officer.
b) All online tools, which are designed to gather information, are required to have a clickable box that states "By clicking this box I am confirming that I am 13 years of age or older".
c) Parents of children have the final say in matters of their child's information and status.
d) The Commanding Officer shall handle ALL requests made by children under the age of 13, and is responsible for compliace with the Children's Online Privacy Protection Act (COPPA) of 1998.
Section 4 - Exceptions
There are certain exceptions to the Sinclair Privacy Policy which you are allowed to give out to anyone. The list of what you can give out is below:
Section 5 - Offenses
Any member(s) who violate Section 3 Regulations 1, 2, or 3 will be suspended for a minimum of 30 days for the first offense. Second and subsequent offenses will be dealt with on a case-by-case basis, with a minimum suspension time of 90 days.
Any member(s) who violate Section 3 Regulation 4 (the Children's Online Privacy Protection Act of 1998) will immediately be suspended from all Sinclair functions and activities pending either a Court Martial or Arbitration as defined in the Sinclair by-laws. The member(s) could also face criminal and/or civil charges for such offenses.

- Club telephone number
- Club member's email addresses
